Lecture Recording Guide

πŸŽ“ Welcome to Lecture Recording

Our lecture recording system is designed around your preferences. You have control over when, how, and what gets recorded. This guide will walk you through everything you need to know to make informed decisions about your teaching sessions.

πŸ“‹ Your First Step: Choose Your Preference

πŸ“ Start Here: Panopto Scheduler

Every lecturer begins by visiting the Panopto Scheduler in QOL for each module they teach.

Path: QOL β†’ Service Applications β†’ Panopto Automated Scheduling

Choose Your Recording Approach:

πŸ”„ Fully Automated

The "set and forget" option. Recordings start 5 minutes after the scheduled start time and stop 5 minutes before the scheduled end time. Perfect for standard, presentation-style lectures.

βš–οΈ Partially Automated

Automate most weeks but opt-out of specific sessions in advance. Ideal for interactive or sensitive content.

🚫 Not Automated (Opt-Out)

Opt out of all automated recordings, allowing manual recording when needed via room PC or personal devices.

⚑ 5-Step Quickstart Guide

1
Choose Your Preference: Visit the QOL Scheduler to select your approach (Automated, Partial, or Opt-out).
2
Check Your Audio: Identify the room's microphone. Look for green lights on dedicated mics, or stay near camera mics for clear audio.
3
Manage Screens: Close any private windows on screens that will be captured during recording.
!
Important for Automation: If using automated recording, please avoid opening Panopto Capture on the lecture PC as this will stop scheduled recordings.
4
Control Recording: Use F9 to pause for discussions and F10 to stop (manual recording only).
5
Review & Release: After class, you have 48 hours to edit or change availability before automatic release.

πŸ’‘ Key Considerations for Teaching

🎯 Pedagogical Considerations

Understanding the teaching implications and best practices for effective lecture recording. For a deeper understanding of the official policy, please see the blog post all about the QUB Recording of Teaching Policy.

🎀
Audio Quality is Paramount: Poor audio makes recordings unusable. Test your microphone setup before your first session.
πŸ€–
Trust the Automation: If you've scheduled automated recording, let the system handle it. Don't open Panopto Capture manually. Note: Automated recordings start 5 minutes after scheduled start time and stop 5 minutes before scheduled end time.
πŸ“’
Communicate with Students: Inform your class about recording plans. Update Canvas to manage expectations.
⏸️
Handle Sensitive Content: Use F9 to pause during sensitive discussions or opt-out of specific sessions.
πŸ‘₯
Value Live Interaction: Remind students that recordings supplement, not replace, the dynamic experience of live lectures.
©️
Copyright Awareness: Ensure you have rights to use third-party content. Link to external resources when uncertain.

❓ Frequently Asked Questions

How can I verify my audio is working properly?

Follow the "Check Your Audio" step in the Quickstart Guide. For dedicated mics, look for green indicator lights. For camera mics, stay close to the camera. The most reliable method is to review the first minute of your first recording to confirm audio quality.

What if a student needs a recording but I've opted out?

Students with accessibility needs will have this communicated via their Student Support Agreement (SSA). You may be required to record for that student or permit them to record. Contact Student Wellbeing and Accessible Learning Support for specific guidance.

Can students download the recordings?

By default, students cannot download recordings. Downloads can be enabled as a reasonable adjustment for students with accessibility needs, specified in their SSA.

Can I record a guest speaker?

Yes, but you must obtain their consent first. Visiting lecturers must sign a consent form before their session. As the module coordinator, you're responsible for ensuring they understand the policy and give permission.

How do I record content on the whiteboard?

The primary camera focuses on the lecture PC area and may not clearly capture the whiteboard. For whiteboard content, use the document camera at the lecture PC, which will be captured clearly. Alternatively, use digital whiteboards on the lecture PC or your device.

What happens to recordings if I stop teaching a module?

Recordings remain associated with the module for the standard retention period. They won't be automatically deleted or moved to your personal folder when you stop teaching.

Can I see student engagement with recordings?

Yes, Panopto provides detailed viewing statistics for each video and folder. You can see view counts, most-watched sections, and which students have watched, providing valuable insights into engagement.

Are students recorded during Q&A sessions?

Room cameras focus on the presenter. While microphones may pick up audio, student images are generally not recorded. You can always pause recording (F9) during Q&A sessions.
